Survey Groups
The Survey Groups page allows you to define a reusable group of users and the associated spaces that they are responsible for surveying. Once defined, the group can be used when creating a space survey to simplify the process of assigning the spaces to the appropriate people.
To open the Survey Groups page:
-
Open the Administration Menu page.
-
Under the Space Survey Admin heading, click Survey Groups.
Add a Survey Group
To add a survey group:
-
Click the Add Survey Group link.
The Add Space Survey Group dialog box opens.
-
In the Name field, enter a unique name for the survey group.
-
In the Description field, enter a description of the survey group.
-
In the Tab Order field, enter a numeric value.
The Tab Order indicates the position, in menus, where this value will be listed. Lower numbered values are displayed toward the top of the list. Values will the same tab order will be sorted alphabetically.
-
In the Active field, select a value indicating whether this survey group is active.
Active values types appear in drop-down menus; inactive values do not.
-
Click ADD.
The dialog box closes and the survey group is added. The survey group parameters are displayed, including the name of the user who added the survey group and the date and time it was added. Once the survey group has been created, you can add group members and associate spaces with it.
Once created, survey groups cannot be deleted. This is to prevent the accidental mass un-assignment of the hundreds of spaces that might be associated with a survey group. Unneeded survey groups can be inactivated.
Add Survey Group Members
Once you have created a survey group, you can add members to it. To add members to a survey group:
-
Click the Add Group Member Select link to select the user you want to add to the survey group.
A dialog box opens, allowing you to locate and select a user.
-
Click the user's name.
The dialog box closes and the user name is displayed.
-
Click ADD.
The user is added to the group and displayed in the list of members. The values that appear in the Surveyor and Approver columns are determined by the user's security rights and indicate whether the user can act as a surveyor, a survey approver, or both. You can delete a member from the group by clicking the Delete link.
Associate Spaces
Once you have created a survey group, you can associate spaces with it. Only spaces that are in properties that all of the group members have security rights to access can be added to the group.
To associate spaces to a survey group:
-
Click the Add Space button.
A dialog box opens that allows you to locate and select the spaces to add to the group.
-
Specify criteria to locate the spaces you want to add.
You can specify location criteria (region, property, floor, or space) and you can narrow your results by selecting an owning group, occupant, functional category, allocated group, allocated individual, or space category. For example, if you want to add all of the spaces associated with a certain department, you could search by allocated group.
-
Click FIND.
The spaces that match the specified criteria appear in the Search Results pane.
-
Select the check boxes next to the spaces you want to add to the survey group.
-
Click the Add button.
The selected spaces are added to the Selected Locations pane. You can remove a selected space by clicking the Remove button.
-
Click OK.
The dialog box closes and the selected spaces display at the bottom of the page in the Associated Spaces pane.
You cannot remove a space from a survey group on this page; you must do it by editing the space. Use the Find tab in the Space module to locate the space and then open the Edit Space page. You can disassociate the space by selecting the Select… value in the Survey Group field.
